The short version

We collect only what we need to take your booking, build your hunt, and run it safely. We don't sell your information. We delete your intake answers and hunt content 6 months after you play, and we keep signed waivers for 1 year.

1. Who we are

This policy explains how Vounia LLC, a New York limited liability company ("Vounia," "we," "us"), handles personal information on vounia.com, play.vounia.com, and in the hunts we run. It sits alongside our Terms of Service and participant waiver.

2. What we collect

You book and payYour name, email, the booking details (hunt type, group size, date), and payment status. Card details are entered with Stripe, and we never see or store your full card number.
You fill out the intake formWhat you tell us about your group: group size, occasion, neighborhood and starting location, budget, how long and how many stops, how the group met, stories and running jokes, the "superlatives," vibe answers, any guest-of-honor fun fact, anything off-limits (including allergies or topics to avoid), how you want the hunt to end, and a contact email. Everything is optional except what we need to build the hunt. Please don't add sensitive details we don't need.
A player accepts the waiverThe player's full name, the room code, the date and time, the waiver version and a fingerprint of its text, and basic device information (browser type, language, and time zone). For a player under 18, the parent or guardian's name plus the player's name and age. Whether the player ticked the optional media box. We also keep a PDF copy of the signed waiver.
You play a huntYour room code, progress, typed answers, side-quest responses and votes, and any photos or videos you choose to submit.
You visit our sites or email usStandard technical logs (such as IP address and browser type) kept by our hosting providers, and the messages you send us.

3. How we use it

We use your intake answers only to build and run your hunt, and we don't use them for advertising. We only feature photos or videos from a hunt in our marketing if you ticked the optional media box in the waiver, and you can withdraw that at any time.

4. Who we share it with

We don't sell your personal information. We share it only with the service providers that help us run Vounia, and only as needed:

We may also disclose information if the law requires it, to protect people's safety or our rights, or in a sale or restructuring of the business (in which case we'd require the new owner to honor this policy). Venues on your route don't receive your intake answers or personal details from us.

5. AI tools

We use commercial AI services to help research stops and draft clues and routes from your intake answers. This means the text you submit in the intake form may be processed by an AI provider on our behalf. A person at Vounia reviews and approves every hunt before it reaches you, and we don't use AI to make decisions that have legal or similarly significant effects on you.

6. How long we keep it

If you want something deleted sooner, ask us (see Section 7). We may need to keep a record we are legally required to keep, such as a payment record.

7. Your choices and rights

You can email harshvaish@vounia.com to ask for a copy of the personal information we hold about you, to correct it, or to have it deleted. You can also ask for a copy of your waiver record. You can withdraw the optional media permission or unsubscribe from our emails at any time. We'll respond within a reasonable time and won't treat you differently for asking. We may need to confirm it's really you before we act on a request.

8. Children and minors

Vounia is not directed to children, and bookings must be made by someone 18 or older. Players under 18 can take part only if a parent or guardian signs the waiver for them, which means we collect the player's name and age through that adult. We don't knowingly collect information directly from children under 13. If you think we have, tell us and we'll delete it.

9. Cookies and device storage

We don't use advertising cookies. Our hunt pages store a small note in your browser to remember that you've already accepted the waiver for a room code, so you aren't asked again on the same device. Our hosting and payment providers may use cookies or similar technology that are needed to run their services securely.

10. Security

We use reputable providers and sensible safeguards, such as encrypted connections and restricted access, to protect your information. No system is perfectly secure, so we can't guarantee absolute security. If we learn of a breach affecting you, we'll tell you as the law requires.

11. Changes and contact

We may update this policy as Vounia grows. The "last updated" date above shows the current version, and we'll let existing customers know about significant changes.
